Part 2 - Methodology : Perception of UPM Employees Towards the Implementation of the Quality Management System (ISO 9001:2015)

 

METHODOLOGY

   

         In order to obtain the perception of UPM employees towards the implementation of QMS at UPM, a set of surveys was developed, piloted and implemented among UPM employees via email Info@UPM. The survey was developed in February 2023, piloted in April 2023 and was implemented from 15 May 2023 until 31 May 2023. The survey is divided into three parts: The first part is the demographic information of the respondents which includes data related to gender, age, position group, length of service and level of education. Respondent age information is categorized into three age levels, namely 18 years to 30 years; 31 years to 45 years; and 46 years and above. The respondent's position groups are categorized into three groups namely the Management and Professional (Academic) Group; Management and Professional (Non-Academic) Group; and the Implementation Group. Next, the respondent's service period is categorized into three service periods which are 1 to 10 years; 11 to 20 years; as well as 21 years and above. The respondent's level of education is categorized as Doctor of Philosophy; Masters; Degree; Malaysian Higher Education Diploma/Certificate; Malaysian Certificate of Education; and Junior Certificate of Studies/Junior Secondary Assessment.

        The second part of the survey is a number of questions that have been developed to assess the impact of QMS implementation at UPM on the respondents. The total number of questions is 16 questions; and drafted using matching / pairing type of questions , which are questions in the form of positive and negative pairs that aim to increase the reliability of the answers given by respondents, as shown in Table 1:

      

           

         The third section is a note column provided to allow respondents to express further views and submit any suggestions related to the QMS implementation survey at UPM. The survey via Google Forms was distributed to UPM employees via email info@UPM, which is UPM's official communication channel from 15 May 2023 until 31 May 2023. A second reminder email was sent on 29 May 2023, aiming to get as many respondents as possible according to the sampling method has been set. The first part of the survey is demographic information that needs to be answered directly through the selection of the most accurate answers from the respondents. In the second part, respondents have to answer all the questions using a 5-point Likert scale. Scale 1 shows the level of "Strongly Disagree" while Scale 5 shows the level of "Strongly Agree" as shown in Table 2:

 

            Data from the UPM Registrar's Office as of December 2022 has recorded the total number of UPM employees at the time the survey was carried out, which is in May 2023, as 6,568 people. The sampling method used for the survey is random sampling or convenient sampling . Calculation of the minimum number of samples required for a descriptive survey can use the sampling calculation formula as suggested by Krejcie & Morgan (1970) for a population of between 6000 and 7000 people. The sample calculation formula has suggested that the total sample is sufficient if there are 361 to 364 respondents who can answer the survey perfectly. The adequacy of the sample is very significant in a quantitative descriptive survey, that is, as a reference point for the purpose of generalizing the findings and conclusions of the survey. At the end of the survey period, there were a total of 616 respondents who answered the survey completely and perfectly.
